One line per task

Handyman work is several small jobs in one visit, and the invoice should read that way. “Handyman services — $340” looks arbitrary. This does not:

  • Rehang and adjust garage side door — 1.0 hr
  • Replace kitchen mixer tap (customer supplied) — 0.75 hr
  • Patch and sand two drywall holes, bedroom 2 — 1.25 hr
  • Materials: joint compound, tap connectors, hinge screws (+15%)
  • Minimum call-out applied: no

Show the minimum

If you have a one-hour minimum, put it on the invoice as a line whenever it applies. A customer who paid an hour’s rate for a twenty-minute job and can see the minimum charge understands it. One who just sees a total does not, and that is the invoice that gets a phone call.

Materials and markup

Itemise the materials and apply a stated markup. Ten to thirty percent is normal, and it pays for the trip to the merchant, the sourcing and the fact that you carry stock so the customer does not have to.

Say it on the document — “materials at cost +15%” — rather than hiding it in the labour rate. Hidden markup is what prompts customers to start buying their own materials, which slows every job you do for them afterwards.

Due on receipt for residential. Card on site. A late fee stated on the document even though you will rarely apply it.

For repeat customers — property managers, landlords, letting agents — Net 15 with a monthly statement is less work than invoicing each visit.

What goes on a handyman invoice?

Your business details, the customer and job address, each task as its own line with hours or a flat price, materials with any markup shown, the minimum charge if it applied, tax, total and payment terms. Handyman jobs are usually several small tasks, and listing each one is what makes a total look reasonable.

Should I bill hourly or by the task?

By the task where you know the job, hourly where you do not. A door rehang or a tap swap should be a flat price because you have done a hundred of them. An unspecified 'list of small jobs' should be hourly, with an estimate up front and a call if it runs over.

How do I handle materials?

Itemise them and apply a stated markup — 10% to 30% is normal and covers sourcing, collection and the trip to the merchant. Hiding the markup inside a labour rate is what makes customers ask to buy the materials themselves, which is worse for you.

Should I show a minimum charge?
