List the visits

The most useful line on a recurring cleaning invoice is the visit dates:

May 2026 — 4 visits: 5th, 12th, 19th, 26th. Standard clean per agreement.

Customers on a monthly charge lose track of what they are paying for, and a subscription they cannot see is one they eventually cancel. Four dates on a page is the cheapest retention there is.

Extras get their own dated lines

Inside the oven, inside the fridge, interior windows, laundry, bed changes.

These are the highest-margin work in cleaning and the most frequently given away, because a cleaner who is already there just does them. Once they appear on an invoice with a date and a price, they become things the customer buys again.

Show cancellations honestly

If a visit did not happen, say so and say what you did about it — charged per the agreement’s notice period, credited, or made up. Silently charging for a visit that did not occur is the single fastest way to lose an otherwise happy customer.

Card on file, charged monthly

At cleaning ticket sizes, accounts receivable does not work. Ten minutes chasing a $480 monthly invoice costs more than the margin on one visit.

Take a card at signup, charge the same date monthly, and send the invoice as a record rather than a request.

Check your state on tax

Some states tax residential cleaning, some do not, and commercial contracts are often treated differently again. It is worth twenty minutes with your state’s revenue site before your first invoice rather than a correction across a year of them.

What should a house cleaning invoice include?

Your details, the customer and service address, the period covered, the dates of each visit, the rate, any extras with their dates, tax if applicable, and the total. Listing visit dates is what makes a monthly total feel like a service rather than a subscription.

Should I invoice per clean or monthly?

Monthly against a card on file for recurring customers. At $120 to $180 a visit, invoicing each clean means four times the admin for the same revenue, and cleaning margins do not support that.

How do I invoice for extras?

As dated lines on the same invoice — 'Interior windows, 14 May, $60'. Extras are the margin in cleaning and they get absorbed constantly because a cleaner in the house simply does them. On the invoice, they are a service; unlisted, they are a gift.

What if a visit was cancelled?

Show it. 'May: 4 scheduled, 1 cancelled by client 12 May (charged per agreement)' or 'credited'. Either way, an invoice that silently charges for a visit that did not happen is the fastest way to lose a customer.
