Quote hours, not just a monthly figure
A commercial cleaning quote has a different reader from a residential one. A facility manager has to justify the spend to somebody above them, and they cannot do that with a monthly total alone.
Show the arithmetic:
Service: Monday–Friday, after 18:00. Estimated 1.5 hours per visit, 2 operatives — 15 hours per week. Monthly price: $X.
Now they have a number they can defend, and you have made yourself easy to approve.
Give them a frequency table
This is the part competitors leave out and facility managers actually want:
- Nightly — waste removal, washroom clean and restock, kitchen surfaces, spot mop
- Nightly or alternate — vacuum traffic areas
- Weekly — full vacuum including under desks, interior glass, dust to reachable height
- Monthly — high dusting, vents, skirting detail
- Quarterly — floor machine or carpet extraction (priced separately)
It answers their questions before the meeting and makes your quote the reference document.
Consumables
Soap, paper towel, toilet tissue, bin liners, hand sanitiser. Say whether you supply them, at cost-plus or included, or whether the client does.
This is real monthly money and the single most common omission in commercial cleaning quotes — which means the quote you are competing against may look cheaper only because it left it out.
Access, security and keys
State how access works, who holds keys or codes, and your policy when staff leave. Commercial clients care about this more than residential ones and often have their own requirements.
Running contracts and night crews

Questions operators actually ask
What should a commercial cleaning quote include?
The scope by area and task frequency, the service days and hours, the estimated labour hours, who supplies consumables, and the monthly price. Facility managers compare quotes on hours and scope, not on a total, so a quote without hours is hard for them to approve.
Should I show the labour hours?
Yes for commercial. A facility manager needs to justify the spend internally, and 'ninety minutes per night, five nights' is a defensible figure. A monthly total with no hours behind it looks arbitrary and invites them to ask a competitor for a breakdown.
How do I quote task frequency?
In a table: what is done nightly, weekly, monthly and quarterly. Bins and washrooms nightly; vacuuming nightly or alternate; interior glass weekly; high dusting monthly; floor machine quarterly. This is the document a good facility manager actually wants.
Who pays for consumables?
State it explicitly. Soap, paper, liners and hand towels can be supplied by you at cost-plus or by the client. It is a meaningful monthly cost and it is the most common omission in a commercial cleaning quote.
How long should a commercial quote be valid?
Thirty to sixty days. Labour costs move, and a tender you priced in spring should not be binding in the autumn.
